CRM and lead automation
CRM automation means every lead that reaches your company follows one path: validated, assigned to an owner by rules, answered, and visible until it is closed. No dependence on anyone remembering, and no leads waiting in an inbox.
The business problem
Leads arrive from several sources: a form, a phone call, email, LinkedIn, a referral. Each source has its own path, and usually none of them is complete.
The result is predictable: some leads are answered within two hours, others within two weeks, and nobody can say how many were lost along the way.
How to recognise it
- You cannot say, right now, how many leads you received last month.
- A lead was contacted by two people, or by none.
- The response depends on who is available rather than on a process.
- Follow-up happens when somebody remembers.
The lead path
Before
- Lead from a form
- Email in a shared inbox
- Someone sees it, eventually
- Copied into a spreadsheet
- Contacted if there is time
- No tracking afterwards
After
- Lead from any source
- Validation and deduplication
- Record in the CRM
- Qualification against criteria
- Automatic assignment
- Confirmation to the lead
- Scheduled follow-up
- Conversion report
Reference architecture — not a client result.
Follow-up is part of the same system
Follow-up is not a separate service, it is a function of the lead path. Automation checks state before every send: if the conversation has already progressed, it does not send.
Three well-placed touches work better than twelve automated emails. In B2B, an aggressive sequence signals the opposite of what you want to communicate.
What drives cost
- The number of lead sources to connect.
- Whether you already use a CRM or one has to be chosen.
- The complexity of qualification and assignment rules.
- How many follow-up stages, and with what content.
Frequent questions
Do we need a paid CRM?
Not necessarily. At low volume a simple, well-structured system is enough and cheaper. A CRM becomes necessary when you have several people in sales or a long pipeline.
Can you integrate the CRM we already use?
It depends on the CRM. Applications with documented APIs integrate directly; some work through export and import; a few are closed and cannot. The audit establishes which category yours is in.
How long does it take?
It depends on the number of sources and the quality of existing data. We do not give a fixed timeline before seeing the process — an invented one is worse than none.
Other solutions
Want to find out whether your process is worth automating?
Free initial audit, 60–120 minutes. No obligation to implement. If automation does not make enough economic or operational sense, we will tell you.
